The Basics

These three numbers have the biggest impact on wait time

How many customers arrive per hour? ? Count how many people join your queue in a typical hour. A busy cafe at lunch might see 60, a small clinic might see 8 to 12.
45
1/hr (very quiet)500/hr (major event)
How long does serving one customer take? ? Time from when a staff member starts helping to when they finish. Include the full process: scanning, payment, paperwork, etc.
4 min
1 min (fast checkout)60 min (long consultation)
How many staff are serving at the same time? ? Count open counters, teller windows, or service desks actively helping customers right now. Not your total headcount.

Your Setup

Describe how your queue is organised

How is your queue arranged? ? A single shared line feeding multiple counters (like a bank) is more efficient than separate lines per counter (like a supermarket). Virtual queues let customers wait anywhere.
How many hours per day do you operate?
How much busier is your peak hour? ? If your average is 30 customers/hr but your busiest hour sees 60, that is 2x busier. This is used to show worst-case wait times.
Do customers sometimes leave without being served? ? The share of customers who see a long queue and walk away, or give up mid-wait. A typical retail queue is around 5 to 15%.

Staff Performance

Fine-tune how efficiently your team works

How focused are staff on serving customers? ? Staff are rarely serving non-stop. They answer phones, handle interruptions, process payments, etc. 80 to 90% is realistic for most businesses.
85%
40% (lots of interruptions)100% (fully focused)
Do staff have regular breaks between customers? ? Time each hour when a counter is closed or a staff member steps away. Even short breaks reduce your effective capacity.
Do you use software to help serve customers faster? ? Modern POS systems, booking tools, or digital workflows can meaningfully speed up service. Self-checkout kiosks have the biggest impact.
Some customers turn away when they see a long queue ? When customers decide not to join after seeing the queue length. This slightly reduces pressure but means lost business.
You have a priority or express lane (VIP, elderly, disability) ? If some customers skip ahead, this increases wait times for regular customers. Enable if you run fast-track or VIP lanes.
Customers book appointments in advance ? Appointment systems spread arrivals more evenly and reduce random spikes. This generally lowers average wait times.
